Legislation, tax changes and documentation complicate the work process for both businesses and contractors. As a result, both spend time dealing with formalities, thereby delaying time to market. Umbrella companies are the ones that serve as facilitators between contractors and businesses.
Our client is a French umbrella company with an existing platform for contracts and payments management. However, most of the company’s processes are done manually. The Weepo app simplifies these processes by allowing each party to digitize and simplify communication and avoid paperwork.
The Umbrella company came to us with the idea of building a feature-rich app to find freelancers that would improve communication between the company staff, contractors and businesses. Before that, all the communication (questionnaires, timesheets, contracts approval) with contractors and businesses was implemented via emails with the umbrella company as a constant intermediary, which took lots of time for each party.
The workflow management app Weepo will allow to improve efficiency of the business processes by digitizing them. As our client only had an admin panel with manual functionality, Weepo will allow 3 groups of users to interact with each other directly using its extensive functionality.
Based on project goals, functionality and limitations, our team built a multi-stage implementation strategy to develop a relevant and competitive product.
Due to the platform's functionality, our designers were tasked with implementing a design for 3 user scenarios: contractors, business representatives, and umbrella company staff. As each of them has specific goals and matching them feature list, we provide users with easy navigation and clear design.
At this project stage we decided to choose MVP as the first version for testing and collecting feedback. For the first launch it’s planned to cover all the necessary functionality for Contractors and Umbrella company.
After an in-depth user analysis and consideration of all requirements, we created technical specifications and developed the following solutions.
On the landing page visitors learn about the benefits of the platform and wage portage, key platform features and convert into platform users.
Even before registration, the salary calculator tells users their monthly or annual earnings, taking into account all relevant taxes (excluding service charges, tax payments, social security).
After a simple and quick registration, the user fills in basic information about themselves, attaches necessary documents and payment details.
The platform lets contractors create projects and send them to a Business for confirmation by automated email. The list of active projects and timesheets can be easily accessed on the dashboard.
Timesheets help Contractors manage their time and active projects in the workflow management app. They can track time spent on each project, attach files, create invoices and send timesheets to Businesses for approval. The user can create up to 5 timesheets for one Business.
E-wallet screen keeps track of Contractor’s total monthly earnings and current balance. They can also view and download payslips easily if required.
There is a lot of different information displayed on the platform, so we used a list format to make it clear and not overwhelm the user.
Weepo enables Umbrella staff to automatically receive documentation, manage ongoing processes and content on the platform without constant direct participation.
They can generate documents right on the platform, oversee all activities happening, and assist Businesses and Contractors with any arising issues. Users can always get in touch with managers via the built-in chat, which allows Umbrella staff to solve their emerging issues faster.
We have developed a feature-rich and time-saving solution that provides Contractors, Businesses and Umbrella company staff with seamless communication and improves work processes for each party. Weepo is now up and running and continues to grow with new users and features.
